Create quotes using AI (Beta)

"Create a quote with AI" is currently in the beta phase and has not yet been rolled out to all customers. If you can’t see the feature, it may not yet be enabled for your account. If you’d like to join the beta group, please contact our support team.

What the feature can do:

Instead of laboriously building each quote from scratch, simply describe what the customer needs — plancraft will provide an initial draft with a subject line, text and line items within a few minutes. You’ll save time on typing and structuring, and can focus on reviewing, customising and liaising with the customer.

  • Quick start: Your description is turned into a complete draft quote — without a blank document and without having to create each item individually.

  • Less typing: Relevant materials and services from your master data are automatically included if they match the prompt.

  • Reuse a tried-and-tested structure: Use up to 3 templates (existing quotations or cost estimates) as a guide — you don’t have to start from scratch every time for similar quotations.

  • More context, less typing: You can also upload files (photos, plans, specifications, notes) — you don’t have to laboriously type out what’s already available.

  • Flexible on the go: Use voice input via microphone if you’d rather speak than type.

Getting started via a project

  1. Click on ‘New Document’ within a project.

  2. Select ‘Create quote’ and then ‘Create with AI’.

  3. Describe the quote you want to create and add templates and documents.

  4. plancraft opens the generated draft in the quotation editor. Items that the AI hasn’t sourced from the master data are marked with an “AI-generated” label. Check the subject line, text and items, adjust prices and content, and finalise the quotation as usual.

How to provide the AI with enough context

The more context you provide to the AI, the more accurate the initial draft will be — and the less you’ll need to revise it afterwards. These four points help the AI understand your requirements as precisely as possible:

  1. Describe the scope in detail
    Trades, rooms, material preferences — what exactly needs to be done? The more specific, the better: “Bathroom 8 m², tiles on walls and floor, shower 90×90 cm” yields a much more accurate result than “renovate bathroom”.

  2. Specify quantities and measurements if you know
    them – square metres, number of items, linear metres – every figure you provide makes the calculation more realistic.

  3. Add any special details
    Difficult access, preferred dates, what’s included or excluded – anything that differs from the standard scenario should be communicated to the AI.

  4. Specify alternative options if desired
    ​Do you want to offer the customer two options for a service (e.g. standard tiles vs. premium tiles)? Tell the AI this directly.

The more of this you include in the prompt, the less you’ll need to tweak in the final draft — those few extra seconds spent writing usually save you more time when proofreading afterwards.

Upload images and files

Photos and files provide the AI with context that text alone often cannot — particularly when it comes to things like condition, dimensions or location. For example, upload:

  • Photos of the building site, the room or areas of damage

  • Sketches, plans or extracts from a specification

  • Notes or emails from the client as PDFs or images
