The AI assistant helps you directly within the editor when editing documents containing items. You can ask questions about the saved document, provide files and existing documents as context, and have the assistant create, edit or delete items.
What the AI assistant does
The AI assistant can help you with many changes to items within the editor.
Answering questions about the saved document

Delete items
Delete a title group along with all the items it contains
Change the name of a title group
Adjust quantity, unit, short text and long text
Set the unit price or total price of an item
Enable or disable price calculation for an item
Adjust surcharges, either in total or by cost type: labour, materials, equipment, external services and miscellaneous
Set, change or remove a discount on an item
Import content from another document that you provide as a template
Include images, PDFs, text, XML and GAEB files
Enter messages via voice input
Note: Always check the answers and changes yourself, as the assistant uses AI and may make mistakes.
What the AI assistant cannot change
You’ll still need to do the following yourself in the editor.
Editing the document header, for example the recipient, contact person, date, subject and place of performance
Editing document-level settings, such as displaying the payment code, discount, security retention / construction surcharge, VAT, showing the proportion of labour costs, payment terms and cash discount
Editing opening and closing texts
Creating new title groups
Edit the tax rate for an item if the document relates to ES, IT or NL
Change the designation to an alternative or contingent item
Note: If you ask for this, the assistant will tell you that it cannot do so – and will explain where you can change it yourself.
In which documents you can use the AI assistant
The assistant is available in the editor as soon as a document contains items. This includes the following document types.
Quotation
Cost estimate
Order confirmation
Invoice
Partial invoice
Final invoice
Pro forma invoice (ES only!)
Cancellation Invoice
Cancellation document
Credit note
Delivery note
Note: The assistant is not available for letters, payment reminders and dunning notices. It is not displayed in the preview.
How to use the AI assistant
Open the document in the editor and save any changes you’ve made so far.
Click on ‘AI Assistant’ at the top of the toolbar. On smaller screens, you’ll find it under ‘More options’.
Ask a question or describe what needs to be changed.
Click on ‘Add file’ to provide additional context. Select ‘Upload file’ for files from your device or ‘Select document’ to use an existing document from plancraft as a template.
Send the message using the arrow button or the Enter key.
Check the response and all changes to the document.
Tip: You can attach up to ten files, each with a maximum size of 10 MB (images, PDF, CSV, text, XML, GAEB). In addition, you can select up to three existing documents as templates.
Note: Attached files are not stored permanently. If a file from an older conversation is no longer available, simply attach it again.
Examples of enquiries
You can send phrases such as these to the AI assistant, for example.
“Increase the quantity of item 2 to 15 units.”
“Change the price of item 3 to 49 euros.”
“Set the material surcharge for item 1 to 20 per cent.”
“Add an item for site facilities after item 3.”
“Delete item 5.”
“Delete the heading ‘Plumbing’ along with all items it contains.”
“Rename the heading ‘Site set-up’ to ‘Preparatory work’.”
“Copy Item 2 from the attached quotation.”
“Which items include material costs?”
Tip: The chat history is saved. If you open the document again later, you’ll see the conversation so far and can scroll further back by clicking ‘Load older messages’.
Note: If you change the quantity of an item, any existing quantity take-off for that item will be replaced.
Check and undo changes
Changes are applied to the document immediately. You do not need to confirm them separately. To help you see what the assistant has changed, the document highlights the edited fields. In addition, for each change, the assistant displays a card in the chat with a brief summary and the number of items edited. You can toggle the highlighting in the document using ‘Hide changes’ and ‘Show changes’.
All changes relating to a request are applied together. If one of them fails, none are applied. This ensures you don’t end up with a document that’s only partially changed.
If you don’t like a change, you can undo it directly in the chat. Click the ‘Undo’ button on the card. The items will then return to the document in the state they were in before the change. This also applies if the assistant has deleted a title group.
Important: Undoing only works for the most recent change. Once the assistant has made a further change, the previous ones can no longer be undone. Check changes to invoices, credit notes and cancellation invoices particularly carefully, as these are binding documents – especially in the case of deleted items and deleted title groups.
